Where the time actually goes

Ask any independent trader what eats the day and you get the same three answers. Repeating the same specification that is already written in the listing.   3. Do you have a car to trade in? Yes or no. If yes, you already know the conversation is worth having, because a trade-in means a committed buyer with a deadline.
  4. Cash or finance? Changes who handles it and how fast it can close.
  5. Phone number, validated, and last.

The trade-in valuation flow

This is the one that saves the most phone time, because the valuation call currently goes back and forth four times before you have the basics. Make the form do that:

  1. Make and model
  2. Year
  3. Mileage
  4. Gearbox and fuel
  5. Any damage or paintwork? Ask it plainly. People answer honestly in writing far more often than on the phone.
  6. Full service history?
  7. Phone number

End the form by asking them to send photos into the chat, front, rear, both sides, dashboard with the mileage showing, and any damage. A form step takes typed text, so the photos come as a normal message afterwards, which works fine and gives you everything you need to price the car before you ever speak.

Do not let the bot quote a number. An automatic figure you then revise down after seeing the car is the fastest way to lose a customer who was ready to deal.

Every enquiry becomes a subscriber, and a subscriber list in this business is worth real money, because most people who did not buy from you this month are still looking next month.

One broadcast a week, three or four cars, each with a photo, the year, the mileage, the price and one line about why it is worth a look. Keep it to cars that just landed. A list of everything you have is a catalogue and nobody reads catalogues in a chat window.

  • "warranty", "guarantee" gets your actual terms rather than a vague promise.
  • "test drive", "see the car" opens the viewing request.
  • "where", "address", "location" sends the address, the map link and your opening hours.

A realistic first week

  1. Day one: welcome message with four buttons, looking to buy, trade-in valuation, this week's stock, where we are. Build the buyer form behind the first.
  2. Day two: the trade-in form and the five keyword replies.
  3. Day three: put the bot link in every listing you have on every portal, and a QR code on the forecourt signage and on the cars themselves.
  4. End of week: first stock broadcast, even if the list is small.

What to measure

  • Qualified enquiries per week, meaning completed forms, not messages.
