Telegram Bot for Appointments
For a clinic, a salon or a studio, the appointment is not lost in the calendar. It is lost in the twenty seconds between someone deciding to call and nobody picking up. That is the gap a bot closes.
How booking works through the bot
The bot takes a complete, structured request at the moment the person wanted to book, and puts it on your phone immediately. You confirm the slot yourself in one message.
For a single practitioner or a small team that is the actual bottleneck removed. The calendar was never the problem, the unanswered phone was, and a request that arrives complete at 23:00 is an appointment you would previously have lost.
The request form
Four or five questions, no more. Anything you can ask when you confirm should be asked when you confirm:
- Which service? Haircut and colour, cleaning and whitening, first session and follow up. This is the one that decides how long the slot needs to be.
- Which days suit you? Ask for a range, not a slot. "Tuesday or Wednesday, afternoons" is answerable. "What time exactly" is not, because they do not know what you have free.
- Morning or afternoon? Cheap to answer, and it halves the back and forth when you propose a time.
- Your name.
- Phone number, validated as a phone number, and last.
Notice what is missing. No symptoms, no medical history, no identity number. A chat form is the wrong place for any of it, and you do not need it to reserve an hour. Ask for the minimum that lets you schedule and take the rest in the room.
First time customers deserve one extra question, "have you been to us before?", because the answer changes the length of the appointment and tells you whether to send the address and the parking instructions with your confirmation.
The confirmation loop
When the form completes, the response reaches your phone as a notification with the person's Telegram handle attached. From there:
- Open the thread and propose a specific time. "Wednesday 15:00 works, shall I put you down?" converts better than a list of options.
- They confirm in the same thread. Now you both have it in writing.
- Write it into whatever calendar you already use. The bot is the intake, your calendar is still the record.
The whole loop takes under a minute and happens while you are between clients, which is the point. It also leaves an unambiguous written record of the agreed time, which quietly removes an entire category of argument.
The no-show problem
No-shows are the tax on appointment businesses, and the two things that reduce them are a reminder and a small commitment. A bot helps with both, within limits.
The reminder is a message you send in the existing thread the day before. It takes ten seconds and it is dramatically more likely to be seen than an SMS, because it arrives in an app the person has open anyway. Make it a two minute daily routine: open tomorrow's threads and send one line to each.
The commitment is the form itself. Somebody who typed five answers is measurably more likely to turn up than somebody who tapped a button once, which is a good argument for not making the form shorter than it needs to be.
What else earns its place
- Prices. The most asked question in every one of these businesses. Put it behind a keyword reply so "price", "cost" and "how much" all answer instantly.
- Where you are. The address, the nearest landmark, parking, and which floor. Send it as one message with a map link.
- Opening hours, including the days you are closed. This alone deflects a surprising number of messages.
- Preparation notes. Come with clean hair, do not eat two hours before, bring your previous x-rays. Attach it to the confirmation and you lose fewer appointments to people arriving unable to be treated.
- Cancellation policy, stated plainly. It works better in writing than said awkwardly on the phone.
Announcements are where the list pays off
Everyone who books becomes a subscriber, and that list is worth more than it looks. A broadcast reaches all of them at once, and for this kind of business the useful sends are rare and genuinely welcome: a closure over a public holiday, a new treatment or stylist, a quiet week you want to fill, a change of address.
Once a month is plenty. These are people who trust you with their teeth or their hair, and the fastest way to lose that is to turn into a promotions channel.
A realistic first week
- Day one: the welcome message with three buttons, book, prices, where we are, and the five question request form behind the first one.
- Day two: keyword replies for price, address, hours and cancellation. Put the bot link in your Instagram bio and your Google Business profile.
- Day three: a QR code at reception and on the mirror or the waiting room wall. Existing customers are the easiest subscribers you will ever get.
- End of week: check how many requests arrived outside your working hours. That number is the one that justifies the whole thing.
What to measure
- Requests received outside opening hours. These are the appointments you were previously losing.
- Form completions divided by starts. Under half means too many questions or the wrong order.
- Time from request to your reply. The number that decides whether they book with you or the next place.
- No-show rate before and after, which is the honest test of the reminder habit.
